This is the checklist I wish I'd had then. It's for anyone sourcing Bomag parts — whether you're buying a roller compactor, a paver distributor, or just a hydraulic filter — and want to avoid the mistakes that aren't in the instruction manual.
There are seven steps. Most are obvious once you've messed up a couple of times. Step 5 is the one most people skip.
Step 1: Record the Exact Model and Serial Number
Write down the full model name (e.g., BW138 AD-3, BMP 8500, BT60) and the serial number. Not "BW138" — the whole thing. The serial number is what tells you which generation of that model you have.
Things get tricky because model names are reused across revisions. A BW138 AD-3 built in 2014 can have a different hydraulic pump mount than one built in 2019. Same model name, different parts. I didn't know that in 2017. Now I do.
Checkpoint: If the serial number doesn't match what the dealer asks for, stop and double-check it before going further.
Step 2: Get the Part Number From the Parts Catalog — Not From Memory
Use the official Bomag parts catalog or an approved dealer's parts lookup. Filter by model and serial number. Don't rely on the part number printed in the old manual unless you've verified it's the same for your generation.
I've seen cases where a part number looked right but was superseded twice — the newest version had a different number entirely. If the catalog shows a "superseded by" note, pay attention. That's not an upsell; that's the replacement part for your specific machine.
Step 3: Verify What the Part Number Actually Covers
This is where the checklist gets specific. A part number in a catalog listing may cover:
- A complete assembly
- A sub-assembly
- A service kit with multiple components
- A single component with multiple internal variations
For example, a "compactor filter kit" might contain different filter elements depending on which fluid package your machine was built with. Most buyers focus on per-unit pricing and completely miss compatibility variations that can add 30–50% to the total cost once you factor in freight, downtime, and return shipping.
Step 4: Confirm the Application — Not Just the Model
"It's a Bomag compactor" is not enough. A BW120AD-3 and a BW138AD-3 may look similar, but the drive motor, vibration system, and drum parts are often not interchangeable.
I remember a call from a newer teammate: "We ordered a hydraulic filter for the BW138 — the listing said it fit BW120/BW138/BW151." It didn't fit the BW138. The listing was wrong, and my teammate learned the same lesson I did: the listing is not the authority. The parts catalog with your serial number is.
Step 5: Record the Current Revision or Update Status
This is the one most people skip. Bomag — like any OEM — issues engineering updates. A part that fits your machine in its original build may be obsolete, and the replacement is different. This matters most for hydraulic components, engine parts, and drum drive systems.
What I do now: before ordering, I check with the dealer parts department and ask, "Has this part been updated for my serial number group?" It takes five minutes and has saved us from at least 47 potential errors in the past 18 months.
That question — "has this part been updated" — is the better question. The common question, "will this fit?" is too vague to actually protect you.
Step 6: Calculate the Total Cost — Not Just the Unit Price
Let's talk money for a second. The $500 quote turned into $800 after shipping, setup, and revision fees. The $650 all-inclusive quote was actually cheaper. That's why I now calculate total cost of ownership (TCO) before comparing any vendor quotes.
TCO includes:
- Unit price
- Shipping and handling
- Import duties or taxes
- Return shipping if the part doesn't fit
- Downtime cost while the machine is idle
- Rush freight if you need the part sooner than promised
It's tempting to think you can just compare unit prices. But identical specs from different vendors can result in wildly different outcomes. The lowest unit price can easily become the highest TCO if the part arrives late, doesn't fit, or lacks proper documentation.
Step 7: Choose a Supplier You Can Hold Responsible
I'm not telling you to avoid aftermarket parts — genuinely good aftermarket components exist. But you need to know who's actually behind the transaction. An authorized Bomag dealer can look up your machine by serial number, confirm updates, and provide a paper trail for warranty and compliance. A marketplace listing with a photo and a price is a gamble.
If you do use a third-party supplier, ask these three questions before ordering:
- What is your return policy if the part doesn't fit?
- Do you provide the current OEM part number or a reference to the original?
- Can you confirm compatibility by serial number in writing?
If the answer to #3 is "we can't do that," factor in the risk cost — because you're probably going to pay it sooner or later.
Common Mistakes I Still See
Here's a short list of errors that show up repeatedly, even in experienced shops:
- Ordering by model name only — serial numbers exist for a reason.
- Ignoring a "superseded" note in the parts catalog.
- Assuming hydraulic parts are interchangeable across similar models.
- Buying the cheapest filter kit available and then discovering it's a kit for a different service interval.
- Not asking the dealer about the part's update status. This one is the most common — and the most avoidable.
I've caught potential errors using this checklist for the past 18 months. Not every mistake has been avoided — I'm not saying that — but the number of "it doesn't fit" calls has dropped to nearly zero. And the ones that still happen? They're usually because someone skipped Step 1 or Step 5.
