Bottom line
I manage equipment parts ordering for a construction services company with about 140 employees across three locations. I'm the admin guy who processes 60-80 parts orders a year, roughly $180K in equipment and components, across maybe nine vendors. I report to both the operations manager and the finance controller, which is a nice way of saying I get blamed from two directions when something goes wrong.
When I took over purchasing back in 2020, I assumed that ordering BOMAG compactor parts would be like ordering anything else: find the part, check the price, place the order. Five years later, I can tell you it's not that hard—but it's also not that simple. Most of the problems I've dealt with were preventable if I'd run a practical checklist before hitting submit.
This is that checklist. Seven steps. Step 4 is the one nobody warns you about.
Step 1: Get the serial number off the actual machine
Not the model number. The serial number.
The model number tells you what machine it is—a BOMAG BW138 AD-3, for example. The serial number tells you which production run it came from. They're different things, and they matter a lot.
I learned this with a starter motor. We had a BW138 AD-3 in the shop, and the model number on the parts diagram matched our machine's badge. But the machine was from an earlier series with a different bolt pattern on the mounting flange. The diagram showed the current version. If the dealer's parts specialist hadn't asked for the serial number—and if I hadn't been able to read it off the frame—we'd have ordered the wrong part and discovered it after the machine was already torn down.
Where to find it: BOMAG typically stamps the serial number on the frame near the engine, and there's usually a compliance plate as well. On older machines, those plates wear out. Check both before you call.
Step 2: Pull the full catalog entry, not just the exploded diagram
The parts diagrams in the BOMAG catalog are genuinely helpful for identifying a part visually. But the diagram alone doesn't tell you about supersessions.
When I'm looking at a plate compactor catalog entry—say, for a BT60—I make sure to read the parts list underneath the diagram. That's where you'll see notes about part number changes and revisions. If you're maintaining an older machine, the current part number might have superseded an earlier one, and the catalog's revision notes are where that gets documented.
This matters for quoting. If you send a dealer an RFQ that just says "part for BOMAG compactor," you're going to get a phone call asking for clarification. If you send the part number from the catalog plus the machine's serial number, you're going to get a quote. Same applies when you're ordering BOMAG roller parts—the part number in the system is the thing that matters, not the picture.
Step 3: Know your genuine vs. private label position before you ask
There's a lot of "roller private label" inventory out there—third-party manufactured parts that carry a private brand instead of the OEM name. Some of these are perfectly fine. I've used private label wear parts (filters, belts, some hoses) where the material specs checked out and the price difference was significant.
But here's the thing I've learned: private label doesn't automatically mean "same part, cheaper box." It can work that way. It can also mean the supplier made a part to a different specification—slightly different tolerance, different material compound, different pressure rating.
So when I get quotes, I ask directly: "Is this genuine BOMAG, or private label? Can you provide a cross-reference or the OEM spec?" A supplier who answers clearly is a keeper. A supplier who acts offended by the question is telling you something.
(Also worth noting: the "always buy OEM" advice is every bit as oversimplified as the "private label is just as good" advice. The right answer depends on the part and the machine.)
Step 4: Don't apply compactor logic to concrete pumps—and vice versa
Here's the step I get skeptical looks about. But I've lived it.
Our company runs BOMAG compactors and, in a separate part of the business, a concrete pump line. When I started in this role, I treated all parts ordering the same way: model number, part number, order. The conventional wisdom in most purchasing guides is to standardize your process. And standardization is good—until it isn't.
What happened: we sourced a hydraulic component for the concrete pump from a supplier we already used for roller parts, because the model number on the spec sheet looked right and the price was better than the alternative. The supplier wasn't wrong—the part matched the spec sheet. But the concrete pump specification guide for that system requires a different pressure classification than the equivalent part on a compactor. The part would have been fine for a roller. It wasn't rated for the pump.
The upside of using our existing supplier was convenience and about $600 in savings. The risk, which I didn't fully weigh at the time, was component failure in an application with different duty requirements. Fortunately, the error was caught before the part was installed. But it shook me.
So now I have a rule: when ordering parts for concrete pumps, verify the pressure rating and hydraulic flow specs independently from the model number match. When ordering compactor parts, confirm drum width and operating weight if the part relates to the drum or exciter assembly. The two categories aren't interchangeable in how you spec them.
That's the step nobody warns you about. Same purchasing system, different technical logic.
Step 5: Ask about availability in physical terms
I don't trust the phrase "in stock" anymore. It's too ambiguous.
What I've learned to ask:
- "Is the part physically on a shelf in front of you?" (Direct, but fair.)
- "If it's not in stock, what's the supplier order date?"
The supplier order date is the real answer. If the dealer can tell you when they'll place the order upstream, you can plan around it. If the answer is "we'll get back to you," then you don't actually have a date—you have a hope.
This is also where online dealer portals help. A portal that shows live inventory is a better answer than a phone call. But I've been burned by portals that showed inventory that didn't exist, so sometimes the phone call and the physical question are still worth making.
Step 6: Verify the dealer is authorized
This matters more than people expect, mostly for paperwork reasons.
Genuine BOMAG compactor parts from an authorized dealer usually come with proper documentation and appropriate warranty support. If the provenance is murky, then warranty claims become your problem—and if you're the admin person, "your problem" means reconciling invoices with finance.
I'm not saying every unauthorized seller is a scam. I am saying you should know what you're buying from. BOMAG's website has a dealer locator. It takes two minutes. If you're regularly doing business with someone, verify they're either an authorized dealer or make sure you understand exactly what their relationship to the manufacturer is.
This bit me once when an invoice came through and my finance controller asked why the supplier wasn't on our approved vendor list. The work was already done. The part was installed. I spent a week explaining the situation. Not fun.
Step 7: Make your finance department happy the first time
The invoice needs to be right. That's the step that saves hours of pain later.
Here's what I check on every parts order:
- Line items are listed individually, not lumped into "maintenance supplies"
- The part number matches what was actually ordered
- The machine identifier is on the invoice, so the cost can be allocated correctly
- The purchase order number is referenced
I had a vendor once who couldn't provide itemized invoicing, even after three requests. Their lumped invoice cost us about $2,400 in rejected expenses when finance kicked it back. I stopped using them. That kind of thing makes you look bad to your VP, and it's avoidable.
If your dealer offers an online ordering portal, use it—system-generated invoices tend to be far more detailed. Phone and email orders always seem to produce vaguer paperwork.
One more note: small orders deserve real service
Everything I've written assumes you work at a company with at least some purchasing volume. I know that's not the case for everyone reading this. Some of you are ordering parts for one BOMAG compactor, not a fleet.
In my experience—and I ran a much smaller operation before this job—the suppliers who treated my $300 orders seriously are the same ones I still call for $30,000 orders today. Small doesn't mean unimportant. If a supplier can't be bothered with your small order at the beginning, it says a lot about how they'll treat you later.
That said, be realistic. A single small part that needs to ship overnight may cost more in freight than in product. That's not a supplier discriminating against your size—it's logistics. The good suppliers will tell you that directly instead of hiding it in the markup.
Bottom line
Ordering BOMAG compactor parts doesn't have to be stressful. The seven steps above are what I run through on every order: serial number, catalog entry, genuine vs. private label decision, correct spec logic for the machine type, real availability, dealer verification, and invoice accuracy. It's not glamorous. It does save you from the phone calls I've had to make over the years.
